Office Manager (Must Have Morning Availability)

o 30-40 hours per week in schoolo Subject to change based on school's need o 1 hour per week participating in school manager's meeting o 4-6 hours per week for administrative taskso Completing DSJo Completing weekly reportso Scheduling private lessons o 4-6 hours per week training and conducting front desk assessments.
Time based on demando Quality of callso Sales trainingo Customer Concerns o All other hours are found fully dressed out on deck, working front desk, or as manager on duty o Uphold Aqua-Tots Swim Schools Core Values o Responsible for hiring, training, assessing, coaching and performance of office staff o Responsible for developing goals to achieve revenue budgets each month o Responsible for organization within the school following GMs direction o Ensures cleanliness from floor to ceiling o Ensure accurate timesheets and hours that reflect the true schedule for office staff o Verify time clock with scheduled shifts in WIW prior to payroll o Oversee substitutes and resolve scheduling conflicts o If no office staff is available for shift, it is the OM's responsibility to cover o Anticipate staffing needs o Ensure quality of Aqua-Tots standard o Evaluate weekly sales and create daily targets (conversions, revenue, saving withdrawals)o Verify targets are achieved o Develop, mentor, and identify future leaders in the next generation of excellent front desk representatives for Aqua-Tots o Schedule monthly in-services and choose the in-service topic for the month o Follow and implement Aqua-Tots Swim Schools customer service guidelines to ensure an exceptional customer experience for every customer o Ensure quality and customer service standard o Communicate effectively with potential and existing customers o Build relationships with families, know their names and their children's names o Address customer concerns, providing a win/win outcome o Respond to parents within 24 hours of any reported instructor performance concern o Use the customer-focused principle in each customer interaction o Report unresolved complaints to General ManagerAs a leader in swim instruction for over 25 years, Aqua-Tots is the largest swim school in the nation.
We teach children ages 4 months to adults.
